This policy explains what personal data we collect, why, who else handles it, how long we keep it and what your rights are. It is information for you, not a contract you have to accept.
The short version
- We sell ScreenSnap Pro through Polar, our reseller and merchant of record. Polar handles your payment. We never see your card details.
- The app keeps your screenshots and recordings on your computer. They leave it only if you upload them to ScreenSnap Cloud.
- The app still talks to the internet: to check your licence with our server, to send crash reports and a count of screenshots taken to Sentry, and to check GitHub for updates. Diagnostics are on by default and there is currently no switch for them in the app (see The ScreenSnap Pro app).
- On the website, Fathom counts visits without cookies, and we use no cookies that need your consent.
- We don't sell your data, we don't use it for targeted advertising, and we have no newsletter.
- To see, correct, export or delete your data, or to object, email privacy@screensnap.pro.

Our emails and parts of the website are signed "Morgan". That is the name we use in public; it is the same person and the same business. We have not appointed a data protection officer, because the law does not require one for the kind of processing we do. Write to privacy@screensnap.pro instead. Our full business details are in the Legal Notice.
What this policy covers
This policy applies when you:
- visit www.screensnap.pro in any language, including our free online tools
- buy ScreenSnap Pro, or anything else we sell through Polar (for example a sponsored article placement)
- use the ScreenSnap Pro app for macOS or Windows
- upload files to ScreenSnap Cloud, or open a ScreenSnap share link someone sent you
- use Website Capture in the app
- receive emails from us, fill in one of our feedback forms, or write to us
Other companies' pages that we link to, such as Polar's checkout, YouTube or GitHub, have their own privacy policies.
When you visit our website
Hosting
Our website runs on Vercel. Like any web server, it receives your IP address, your browser and device details (the "user agent"), the page you request and the page you came from. Vercel uses this to deliver pages and protect the site from abuse, and keeps request logs for a short time. Images and videos on the site are served from our own storage at files.screensnap.pro, which runs on Cloudflare and receives the same kind of technical data.
Visitor statistics with Fathom (no cookies)
We count visits with Fathom Analytics for every visitor, without asking first. Fathom puts nothing on your device (no cookies, no local storage) and doesn't build a profile of you.
Fathom receives your IP address and browser details, the address of the page you view (including campaign tags such as utm_source if the link you followed had them), the site you came from, and a few events we define: clicks on buy buttons, when the discount pop-up is shown or closed, when the promo banner is closed, and completed purchases with their amount. According to Fathom, it uses your IP address only briefly: to recognise a visit, with an identifier that changes every day, and in limited security logs that record only the time and number of requests per IP address, not the pages viewed. We only see totals: pages, referrers, countries, browsers, device types, events and sales. Visits from the EU are processed on Fathom's servers in the EU.
We rely on our legitimate interest in knowing how many people visit which pages and which pages lead to sales.
Former affiliate tracking with Dub
Until 5 October 2026 we ran an affiliate programme through Dub (Dub Technologies, Inc., USA). If you arrived through a partner link and allowed affiliate tracking, we kept the partner link's click ID in a cookie called dub_id for 90 days. When a purchase carried a click ID, our server sent Dub the click ID, a customer ID (your Polar customer ID, or a one-way hash of your email address), the order ID, the amount and the currency, so that Dub could work out the partner's commission. We no longer load Dub's script, read affiliate cookies or report sales to Dub. Dub keeps the click and sale records from that time under its own retention for our programme.
Details we add to checkout links
When you click a buy button, we add a few details to the Polar checkout link so that we can tell which page led to a sale: the page you clicked on, the page your visit started on, your platform as reported by your browser (for example Mac or Windows), and either the campaign tags your visit arrived with (utm_source, utm_medium, utm_campaign) or the place on the page where you clicked. On our English and German pages the link also carries the site language, so the checkout opens in it. To remember the starting page and campaign tags while you move around the site, we keep them in the memory of the open page. We do not copy these details to browser storage; a full page reload starts a new visit. Polar stores these details with your order and sends them back to us. We rely on our legitimate interest in knowing which pages lead to sales.
Embedded YouTube videos
Some blog posts, the homepage and the pricing page contain a YouTube video. On blog posts, your browser fetches the video's preview image from Google's server (i.ytimg.com) when the page loads, which gives Google your IP address, browser details and the name of our website. On the homepage and the pricing page, the preview image comes from our own server, so nothing loads from Google until you click play. On every page, the YouTube player itself loads only when you click play, from youtube-nocookie.com. From that point Google may set cookies or similar storage in your browser, under Google's own privacy policy.
Free online tools
Our free tools process your files in your browser. Your files are never uploaded to us or to anyone else. The webcam and microphone tests also run only in your browser.
Some tools download code or models from other servers the first time you use them:
- PDF tools: pdf.js from jsDelivr or cdnjs
- Text from image (OCR): Tesseract from jsDelivr
- Background remover: ONNX Runtime from jsDelivr and a model from our own storage at files.screensnap.pro (Cloudflare)
These providers receive your IP address and browser details, as any server does when you load a file from it, but never your files. In the image metadata viewer, if a photo contains GPS coordinates and you click the map link, Google Maps opens with those coordinates.
Free-tool email check
Until 24 September 2026, after two uses of our free tools we asked for your email address before you could keep using them, and emailed you a 6-digit code through Cloudflare Email Sending. To stop abuse, we counted how many codes an email address or IP address had asked for; that count was kept only briefly in our server's memory. We no longer ask for your email address: the free tools now work without it.
If you confirmed a code before then, we stored your email address, your platform (Mac, Windows or other, as reported by your browser), the site language and the time in our private storage at Vercel (Vercel Blob), and your browser kept your confirmed address and a verification token in local storage. We still hold these records and use them to know who used the tools and which platforms and languages our tool users came from. We never added them to a mailing list and we don't send you marketing emails. The copy in your browser stays until you clear your site data (see the Cookie Policy).
We keep these records until you ask us to delete them; there is no automatic deletion at the moment. Email privacy@screensnap.pro and we will delete yours. We rely on our legitimate interest in understanding who used our free tools.
When you buy ScreenSnap Pro
ScreenSnap Pro is sold by Polar (Polar Software, Inc., Dover, Delaware, USA) as our reseller and merchant of record, through Polar's hosted checkout. Polar collects your payment details, billing address and tax information, charges you, handles sales tax and VAT, and sends you your receipt and licence key. Polar does this under its own Buyer Terms and Privacy Policy, and processes buyer data for us under its data processing addendum. We never see or store your card details.
Polar gives us:
- your name and email address
- the order ID, your Polar customer ID, the product, the amount, the currency and any discount
- the checkout-link details described above (pages, platform and campaign tags)
- your licence key and its activations, meaning the computers it is activated on
- through Polar's licence system, a copy of Polar's licence record, which includes your name, your email address and the billing details you gave Polar (your billing address, and a tax ID if you entered one)
We use this to deliver and check your licence, send the getting-started emails, answer support and refund requests, see which pages lead to sales, and keep business and accounting records. It is stored in two places:
- Our website storage (Vercel Blob): a record for the getting-started emails (your email address, order ID, product, time of purchase, which emails were sent, and whether you unsubscribed or were refunded), and a sales record without your name or email (amount, currency, product, discount, checkout-link details, and refund date if any).
- Our licence server (Amazon Web Services, Ireland): your licence key, the copy of Polar's licence record, and the computers you activate (see below).
When you ask for a refund, we process it in Polar and the getting-started emails stop.
Emails we send
- Getting-started series. After you buy ScreenSnap Pro we send four emails: about 10 minutes after the purchase, after one day, after two days and after 14 days. The last one asks for feedback through a short form hosted by Tally. We send them through Cloudflare Email Sending, from an address at note.screensnap.app. Replies go to our own mailbox (morgan@screensnap.pro, hosted by Proton).
- Occasional feedback requests. Now and then we email our customers to ask how ScreenSnap Pro is working for them. For this we export our customers' email addresses from Polar, and we skip anyone who has unsubscribed or been refunded.
Every email about your purchase has a one-click unsubscribe link, and mail apps such as Gmail and Apple Mail show their own "Unsubscribe" button for it. When you unsubscribe, we record your choice under a one-way hash of your email address, together with your order ID, and never send you these emails again. We rely on our legitimate interest in helping customers get started with what they bought and in improving the product.
We have no newsletter and don't send marketing emails. The only mailing list we hold is left over from the past: for a few weeks in March and April 2026, some of our free tools offered an optional sign-up for news about new tools and app discounts. Addresses entered there went to a mailing list hosted by Resend (USA). That form is gone and we no longer add anyone to the list. Your consent was the basis. If you signed up and want to be removed, email us.
The ScreenSnap Pro app
What stays on your computer
Your screenshots, recordings, microphone audio, camera video and the text the app recognises in images (OCR) are processed on your computer. OCR uses Apple's built-in text recognition on a Mac and Windows' built-in OCR on Windows. The app uses no online AI service and does not log your keystrokes or clicks. During a screen recording it stores your cursor positions with the recording, to draw the cursor and zoom effects.
The app also keeps, in its data folder on your computer:
- Capture history: copies of your recent captures, kept for 1 week by default. You can shorten this, extend it to a month or turn it off in Settings.
- video projects, settings, and a cache of wallpapers and thumbnails
- your licence key, session token, device keys, device identifier and the random installation ID described below, in a settings file that is not encrypted, plus the random updater ID in a small file of its own
The data folder is ~/Library/Application Support/ScreenSnap Pro/ on a Mac and %APPDATA%\ScreenSnap Pro\ on Windows. Screenshots are saved to Desktop/ScreenSnap Pro unless you choose another folder. Removing the app does not delete the data folder; delete it yourself if you want it gone.
On macOS the app asks for Screen Recording permission (to capture your screen), Accessibility (for keyboard shortcuts) and, only if you switch them on, Microphone and Camera (for recordings). On Windows the app asks for no permissions itself; Windows' own privacy settings for the camera and microphone still apply.
Your captures, recordings and capture history are not sent to us unless you upload them to ScreenSnap Cloud. The app does make the connections below, which use some of the identifiers listed above, and crash diagnostics can incidentally contain fragments of your content, as explained under Diagnostics.
Licence check
The app contacts our licence server at api.screensnap.pro (traffic passes through Cloudflare; the server runs on Amazon Web Services in Ireland) when you activate or detach a licence, each time it starts if a licence is stored, and before a Cloud or Website Capture action. It sends:
- your licence key
- a device identifier derived from your computer's hardware ID: currently the Mac's hardware UUID (or its serial number if the UUID isn't available) or the Windows MachineGuid, sent as it is. If neither is available, the app uses a value derived from the computer name and user name, or a random ID.
- a public key the app creates for your computer, and signatures made with it; after activation, a session token
- the app version and operating system (in the app's technical user agent)
Cloudflare and our server also see your IP address as part of the connection. We don't store it in our database. Our server logs, kept for 30 days, record these requests, including the device identifier and, for uploads and Website Capture, file names and URLs.
We use the device identifier to enforce the 2-computer limit of your licence and to recognise your computer. For each computer we store the identifier, the public key, the activation date, the last time it checked in and, if you detach it, the date you did so. We keep the identifier of a detached computer. The identifier is also sent to Polar as the label of the activation, so Polar stores it as well. If the app can't reach our server, it keeps working with the last confirmed licence status.
Diagnostics (Sentry)
The app sends crash reports and diagnostics to Sentry (Functional Software, Inc., USA), stored in Sentry's EU region in Germany. This is on by default, starts when the app starts, and there is currently no switch for it in the app's settings. It sends:
- crash and error reports: the error, app version, operating system and version, processor, memory and screen details, language and time zone. For a crash, it includes a memory dump of the crashed process, and for some errors the values the app was working with at that moment. Both can incidentally contain fragments of what the app was working on.
- log lines and the web addresses of network requests from just before an error. These can include the names or locations of files you opened or saved, and links to your ScreenSnap Cloud files.
- a count of each screenshot taken, with the capture mode, how it was started and the file format (never the screenshot itself)
- a short note each time the app starts, so we can see how often it crashes
All of this is linked to a random installation ID the app creates. The app is set not to attach screenshots and not to add your IP address to reports, but Sentry receives your IP address as part of the connection. Our licence server also reports its own errors to Sentry.
We rely on our legitimate interests in finding and fixing crashes and in knowing which capture features are used. You can object at any time (see Your rights): email us and we will help you switch it off and delete the reports linked to your installation. If you are comfortable with it, you can also turn diagnostics off yourself by setting the environment variable SCREENSNAP_DISABLE_SENTRY=1 before starting the app.
Updates (GitHub)
About a minute after it starts, and then every 6 hours, the app checks GitHub (owned by Microsoft) for a new version. GitHub receives your IP address, a technical user agent and a random updater ID the app stores. New versions download automatically and install when you quit the app. The installers on our download page also come from GitHub.
Wallpapers
If you pick one of our online wallpapers that isn't downloaded yet, the app fetches it from files.screensnap.pro (Cloudflare), which receives your IP address and user agent.
ScreenSnap Cloud
ScreenSnap Cloud is optional, available to licence holders, and off by default. Files are uploaded only when you click Upload, Share or Create Link, or if you turn on automatic upload.
When you upload, we store the file (images, GIFs and videos up to 300 MB each), a thumbnail, the original file name, file type and size, the upload date, which licence and computer uploaded it, and how many times its share link has been opened. Files are stored with Amazon Web Services in Ireland (region eu-west-1), encrypted at rest in a private storage bucket. Each licence can have up to 10,000 uploads.
Each upload gets a share link (share.screensnap.pro/…) with a random code, which the app copies to your clipboard. Please note:
- Share links are unlisted but public. Anyone who has the link can open the file without signing in. Share them only with people you trust.
- Links don't expire. They keep working until you delete the upload.
- When someone opens a link, the request passes through Cloudflare and their browser is sent to a temporary signed address for the file at Amazon Web Services, valid for 7 days. We count the click but don't store the viewer's IP address; Cloudflare and Amazon Web Services see it as part of the connection.
We don't scan or analyse your files. We look at a particular upload only if someone reports it to us, the law requires it, or you ask us for help with it.
Deleting. You can delete uploads in the app's Library ("Only Cloud" or "Delete Both"). This deletes the file and thumbnail from active storage and deletes the upload record and its share link. Our storage bucket keeps a version history, so a copy of a deleted file can remain there, and there is currently no automatic expiry for those copies. If you want them removed too, email us and we will do it.
We process this data to provide the service you use (contract). The rules for using ScreenSnap Cloud are in our Terms of Use.
Website Capture
Website Capture is a licence feature that takes a screenshot of a web page from its address. The app sends the address (URL) you enter, together with the viewport size, scale and full-page setting, to our server. Our server asks ScreenshotOne to load the page in a fresh browser and return an image, and passes the image straight back to the app. We don't store the image.
ScreenshotOne loads the page as a new visitor, without your cookies or logins. According to its privacy policy, it logs request details, including the URL. The URL also appears in our server logs, which we keep for 30 days. Avoid capturing addresses that contain secrets, such as private tokens. We process this data to provide the feature you use (contract).
Support and feedback
When you email us at support@, privacy@ or morgan@screensnap.pro, we receive whatever you send: usually your name, email address, your message and any attachments, and sometimes your licence key or order details. Our mailbox is hosted by Proton (Proton AG, Switzerland). We use this to answer you and keep a record of what we agreed. If you fill in one of our feedback forms, Tally (Tally BV, Belgium) stores your answers for us.
Former affiliate partners
If you were a partner in our affiliate programme before it closed on 5 October 2026, Dub ran the partner sign-up, link tracking and commission payouts under its own terms and privacy policy. We could see the profile details you gave Dub (such as your name, email address, country and website) and the clicks, sales and commissions credited to your links, and used them to run the programme with you (contract).

Who receives your data
We use the service providers below. They process data on our behalf or, where noted, also for their own purposes under their own policies. We don't sell your personal data to anyone.
| Provider | What they do for us | Where |
|---|---|---|
| Polar Software, Inc. | Reseller and merchant of record: checkout, payment, tax, receipts, licence keys. Also acts under its own policies. | USA |
| Amazon Web Services | Our licence and cloud server, database, cloud file storage and server logs | Ireland (EU) |
| Cloudflare, Inc. | Network in front of our licence server and share links, storage for our site images, videos, app wallpapers and the background remover's model, sending our emails, cdnjs | USA, global network |
| Vercel Inc. | Website hosting, and storage of purchase, email and free-tool records | USA |
| Sentry (Functional Software, Inc.) | Crash reports and diagnostics | EU region (Germany) |
| Fathom Analytics (Conva Ventures Inc.) | Cookieless visitor statistics | Canada; EU visitors processed in the EU |
| GitHub, Inc. (Microsoft) | App downloads and update checks | USA |
| ScreenshotOne | Renders pages for Website Capture. Receives only the web address and capture settings, from our server. | Servers in the USA and the EU |
| Tally BV | Feedback forms | Belgium (EU) |
| Resend (Plus Five Five, Inc.) | The old sign-up list | USA |
| Proton AG | Our email mailbox | Switzerland |
| Google (YouTube) | Video previews on the blog, and video players on the blog, homepage and pricing page. Google acts under its own privacy policy. | EU and USA |
| jsDelivr (Volentio JSD Limited), cdnjs (Cloudflare) | Code and models for some free tools, downloaded by your browser | UK, USA and global networks |
We also share data when the law requires it (for example with tax authorities or courts), with the authorities when we report illegal content in ScreenSnap Cloud or a threat to someone's life or safety (see our Terms of Use), with professional advisers such as an accountant or lawyer who are bound by confidentiality, or to establish or defend legal claims.
International transfers
Our licence server, database and cloud files are in the EU (Amazon Web Services, Ireland). The app's crash reports are stored in Sentry's EU region. Some providers are based outside the European Economic Area, or may access data from there:
- United Kingdom, Switzerland and Canada (jsDelivr, Proton, Fathom): the European Commission has decided that these countries protect personal data adequately.
- United States: we rely on the EU-US Data Privacy Framework where the provider is certified under it (at the time of writing: Amazon Web Services, Cloudflare, GitHub, Google, Resend, Sentry and Vercel). Polar is not certified, so we rely on the Standard Contractual Clauses approved by the European Commission, which are part of its data processing terms.
- ScreenshotOne (Website Capture) renders pages partly on servers in the USA and is not certified either. It receives only the web address and capture settings, sent from our server, never your IP address or licence details. It offers a data processing addendum with the Standard Contractual Clauses on request, and we are putting that in place.
Email us if you want a copy of these safeguards.
How long we keep data
| Data | How long |
|---|---|
| Licence and activation records (licence key, copy of Polar's licence record, device identifiers including those of detached computers, sessions) | As long as your licence exists. Licences don't expire, so at the moment we keep these indefinitely. Ask us and we will delete them, though we may then be unable to activate or support your licence. |
| Getting-started email record (email, order, emails sent) | Kept as a business record, currently with no automatic deletion. It also stops us from sending the series twice. |
| Unsubscribe records | Indefinitely, under a one-way hash of your email address (with the order ID), so we keep respecting your choice |
| Sales records (no name or email) | Indefinitely, as business records |
| Accounting and tax records | As long as Portuguese tax and accounting law requires (up to 10 years) |
| Customer lists and send logs for one-off feedback emails | On our own computer, currently with no automatic deletion |
| ScreenSnap Cloud uploads | Until you delete them, or until we remove them as our Terms of Use allow, for example after a refund or when they break the rules. Copies can remain in the storage version history until we remove them; email us to have that done. |
| Website Capture images | Not stored |
| Server logs (licence server) | 30 days |
| Website request logs (Vercel) | A short time, at most 30 days |
| Crash reports and diagnostics (Sentry) | Up to 90 days |
| Fathom | Anonymous totals, kept while we use Fathom. Fathom's security logs of IP addresses (time and number of requests only) are kept for a period Fathom does not state. |
| Dub click and sale records from before 5 October 2026 | Under Dub's retention for our former programme. Any dub_id cookie left in your browser expires 90 days after it was set. |
| Free-tool email records | Until you ask us to delete them (no automatic deletion at the moment). The copy in your browser stays until you clear your site data. |
| The old sign-up list at Resend | Until you ask to be removed or we delete the list |
| Support emails | In our mailbox, with no automatic deletion. Ask us and we will delete them unless we need them for a legal claim or legal duty. |
| Data in the app on your computer | Capture history 1 week by default; everything else until you delete it |
Your rights
Under the GDPR you have the right to:
- access your data and get a copy of it
- correct data that is wrong or incomplete
- delete your data (the "right to be forgotten")
- restrict how we use your data, for example while we check a complaint
- data portability: receive the data you gave us in a common machine-readable format, or have it sent to another company
- withdraw consent at any time, for what we do based on consent. For the old sign-up list, email us.
Your right to object
You can object at any time, on grounds relating to your particular situation, to any processing we base on our legitimate interests, including crash reports and diagnostics, the screenshot count, visitor statistics, sales attribution, free-tool email records and the getting-started and feedback emails. We will then stop, unless we have compelling legitimate grounds that override your interests, or we need the data to establish or defend legal claims. You can object to emails about ScreenSnap Pro at any time without giving a reason, using the unsubscribe link in any email or by writing to us.
How to make a request
Email privacy@screensnap.pro. There are no user accounts on our website or in the app, so to find your data we may ask you to write from the email address you bought with, or to give us your licence key or order ID, so we know the data is yours. We will reply within one month. If a request is complex, we may extend this by up to two more months and will tell you why. Requests are free unless they are clearly unfounded or excessive.
Some data can't be deleted straight away, for example records we must keep for tax purposes. If we can't do what you ask, we will tell you why.
Complaints
You can complain to the Portuguese data protection authority, the Comissão Nacional de Proteção de Dados (CNPD), Av. D. Carlos I, 134, 1.º, 1200-651 Lisboa, www.cnpd.pt, or to the data protection authority in the EU country where you live or work. We would appreciate the chance to sort it out with you first.
Cookies and similar technologies
Our website keeps a few items in your browser to keep tools working and remember choices, such as your theme and whether you dismissed the discount pop-up. Fathom uses no cookies. Page attribution and purchase deduplication stay in page memory, without browser storage. We use no cookies that need your consent, so there is no cookie banner. You can clear data left from earlier visits, including old affiliate cookies, in your browser settings.
The Cookie Policy lists every cookie and storage item we use, with its purpose and how long it lasts.
What you have to give us
- To buy, Polar needs your email address and payment and billing details. Without them you can't buy.
- To activate the app, it needs your licence key and the device identifier described above, and a connection to our server. Without them the app can't be activated on that computer.
- Everything else is optional: ScreenSnap Cloud, Website Capture and our emails.
Automated decisions
We don't make decisions about you based solely on automated processing that have legal or similarly significant effects for you. The app automatically refuses to activate a licence on a third computer; that is simply how the 2-computer limit of your licence works. You can detach a computer yourself in the app or ask us for help.
Children
Our website, tools and app are not directed at children. If you are under 16, please don't give us personal data, for example your email address. To buy a licence you must be at least 18 or have a parent's or guardian's permission (see our Terms of Use); for a child under 16, a parent should make the purchase. If you believe a child has given us personal data, email us and we will delete it.
Security
- All connections to our website, licence server and share links use HTTPS (TLS).
- The app authenticates with our licence server using a key pair created for your computer and a session token.
- Cloud files are encrypted at rest in a private storage bucket and are reachable only through share links or time-limited signed addresses.
- Access to our admin tools is password-protected.
No system is perfectly secure. Keep your licence key private, and remember that the app's settings file on your computer, which holds your licence key and session token, is not encrypted. If a data breach is likely to put you at high risk, we will tell you as the law requires.
Changes to this policy
When we change how we handle personal data, we update this policy and the date at the top. If a change significantly affects data we already hold about you, we will announce it on our website before it takes effect.
